Choosing an IT support company is one of the most important decisions a growing UAE business makes. Your provider will have the keys to your email, files, finances and customer data, and the quality of their work decides whether your team spends its day working or waiting. Yet most businesses choose on price alone, or on whoever answered the phone first.
Whether you are in Dubai, Abu Dhabi or the Northern Emirates, these ten questions will help you separate a provider that will genuinely look after your business from one that will simply react when things break.
1. Is the service proactive or break-fix?
Break-fix support charges you each time something goes wrong, which means your provider earns more when your systems fail. Managed IT works the other way round: for a predictable monthly fee, the provider monitors, patches and maintains your systems so fewer problems happen in the first place. Ask exactly what is monitored, how often updates are applied and what is included in the monthly fee.
2. How do you handle security patching?
Unpatched software is one of the most common ways attackers get in. A good provider should be able to tell you how quickly critical Windows, macOS, browser and third-party application updates are applied, how they are tested, and how they report compliance to you. If the answer is vague, treat that as a warning sign.
3. Do you enforce multi-factor authentication?
Stolen passwords are behind a large share of business email compromise and invoice fraud in the region. Multi-factor authentication (MFA) on Microsoft 365, Google Workspace, VPNs and admin accounts should be standard, not an optional extra. Ask whether MFA is enforced for every user, including directors.
4. How are our backups protected and tested?
Backups only matter if you can restore from them. Ask where your data is backed up, whether a copy is kept off-site and protected from ransomware, how long backups are retained, and when a restore was last tested. Microsoft 365 data should be backed up too, as the built-in retention is not a full backup.
5. What does on-site support look like in my emirate?
Most issues can and should be fixed remotely within minutes. But hardware faults, network changes and office moves need an engineer on site. Ask how on-site visits work for your location, whether they are included or charged separately, and what response times are written into the agreement.
6. Who will actually look after us?
Some providers sell the service with senior staff and hand the work to whoever is free. Ask who your main contact will be, whether the same engineers will get to know your systems, and how knowledge about your environment is documented so that support does not depend on one person.
7. Will we own our documentation and accounts?
Your provider should document your network, devices, licences and passwords in a way you can access, and admin accounts for your Microsoft 365 tenant and domain names should belong to your company. Ask what happens to this information if you change provider. A good provider makes it easy to leave, which is exactly why you will not want to.
8. Can you handle more than just the helpdesk?
Growing businesses need more than password resets. Look for a provider that can also deliver projects such as new office fit-outs, network and Wi-Fi upgrades, cloud migrations, phone systems and cybersecurity improvements, so you are not juggling several suppliers who blame each other.
9. Where will our data be stored?
The UAE’s Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, along with sector and free zone rules such as those in DIFC and ADGM, means many organisations need to think carefully about where data is held and who can access it. Ask whether UAE-hosted options are available, such as Microsoft Azure’s UAE North and UAE Central regions or private UAE hosting.
10. How is pricing structured?
Ask for a clear, written breakdown: the monthly fee per user or per device, what is included, what counts as a chargeable project and how out-of-hours work is billed. A fixed, predictable fee with clearly defined inclusions is far easier to budget for than a low headline price with frequent extra charges.
The bottom line
